HOA approvals can sometimes feel overwhelming, but here’s a pro tip: stay calm and confident. We’ve noticed that many issues arise when homeowners communicate with HOA employees who may not fully understand the process due to turnover or lack of experience. When in doubt, always escalate your concerns to a senior representative or manager who can provide clarity and resolve issues effectively.

Follow this guide step by step, and you’ll be the most prepared homeowner in your community. We’ve made this process as simple and fluid as possible so you can focus on what matters – enjoying your future pool!

How It Works: Steps to Get HOA Approval Step 1: Gather the Required Documents

 We’ve prioritized the documents below by importance to ensure a smooth and efficient process. Please do not print unless absolutely necessary. We recommend combining all files into a single PDF binder file for easier submission. If you’re unsure how to do this, simply attach the files individually in an email.

  • You’ll receive this via Docusign. After signing, download the combined file version for submission.
  • Download the file from your email, rename it to "Umbare Pools Pool Contract," and then attach it to your HOA email.

  • Umbare Pools ensures all job sites are safe and compliant with Florida Building Codes and OSHA regulations. Sidewalks are closed, and construction zones are secured for everyone’s protection. Include this document with your HOA submission to highlight our commitment to safety.

  • Search and scroll to find the certificate for your HOA or municipality. If unavailable, contact us to create one for you.

  • As a builder, we do not require workers’ comp for the owner/operator of the business. However, all workers on-site are fully covered.

  • This includes the pool design and a superimposed survey showing the pool location and equipment pad. 


  • Please download the file from your email and rename it to "Umbare Pools Design Package."

  • If your project includes a screen enclosure, you will need drawings from CRA, who will handle the installation.


  • "Or" We’ve also created a generic screen enclosure sheet for convenience. Include this with your submission and specify your cage size in the email. You can even annotate this document directly if needed.

  • Use our pre-designed landscape plan showing a 3-foot-wide bed around the pool perimeter. It includes plant types, sizes, and quantities.


  •  Some HOAs may require plants to be placed in front of or around the pool equipment. If this applies, simply mention that you will utilize plants from the landscaping package to meet this requirement.

  •  Some HOAs require drainage systems for downspouts, deck drains, and pool overflow pipes.


  • Include this verbiage in your email:
    “Downspouts from the screen enclosure, deck drains, and pool overflow will connect to a French drain system.”


  • If needed, draw simple lines on the plans to illustrate. (Umbare Pools does not provide French drain services but can connect you with our landscaping partners.)

Step 2: Submit to Your HOA

Once you’ve gathered all required documents, email them to your HOA. Be sure to:

  1. Attach all the required files.
  2. Use clear and concise language.
  3. Address your email to a senior representative or manager to avoid confusion.
